Principal Duties and Responsibilities:
- Responsible for providing any administrative support to the firm.
- Responsible for all day to day front desk activity, such as handling all incoming guests, checking the general voice mailbox, returning phone calls and emails, setting up appointments, etc.
- Inform all office staff of daily activities, group or VIP arrivals as well as special requests and repeat guests. Check accommodations, make sure any special requests are carried out accordingly, greet guests upon arrival and ensure escort to accommodations if appropriate.
- Supervises the maintenance and upkeep of office areas and equipment.
- Responsible for the purchase of office supplies and office equipment for the entire staff in accordance with the company purchasing policies and budgetary restrictions.
- Responsible for sending and receiving any mail that comes into the office.
- Responsible for any office catering/reservations such as ordering lunch, setting up special events, etc.
- Handling all office or building requests such as maintenance, badges, and front door access.
- Responsible for setting up travel reservations and accommodations.
- Responsible for maintaining a professional and high quality service oriented environment at all times.
- Responsible for taking any training that is associated with job duties.
Education and Experience Requirements:
- At least 4 years of experience in a fast-paced office environment
- Bachelor’s degree required
- High level of interpersonal/communication skills
- Highly organized, systematic, and process driven
- Intermediate/Advanced in Microsoft Office (Word, Excel, PowerPoint)
- Must be self-motivated and forward thinking
- Ability to multi- task under pressure
Office hours are 8:30am- 5pm, Monday- Friday.
